How to Write a Thank You Note

A good thank you note has four parts. It usually takes three to five sentences.

  1. Greet them by name. "Dear Aunt Linda," or "Hi Sam," is enough.
  2. Name the gift or favor. Say exactly what you are thanking them for.
  3. Say what it meant or how you will use it. This is the line people remember.
  4. Close warmly and sign your name. Mention the next time you will see them if you can.

Example: "Dear Aunt Linda, thank you for the blue scarf. It is already my favorite, and I wore it to work twice this week. I hope we can get together for lunch soon. Love, Emma"

Be specific about what they did. It shows you noticed.

What to Avoid in a Thank You Card

  • Waiting too long. A late note is still better than none, but sooner is better.
  • Writing only "Thanks for the gift." Name the gift.
  • Mentioning the dollar amount of a cash gift.
  • Adding a request or favor to the note.
  • Copying the same message for every guest after a party or wedding. Change at least one line.

Frequently Asked Questions

How long should a thank you note be?

Three to five sentences is enough. A greeting, one line about the gift or favor, one line about what it meant, and a warm closing.

How soon should I send a thank you card?

Within two weeks is a good rule for most gifts and favors. For wedding gifts, many people aim for within three months of the wedding.

Is a thank you text enough?

A text is fine for small, everyday favors. For gifts, hosting, help during a hard time or anything that took real effort, a handwritten card means more.

Should I write a thank you card for a gift I did not like?

Yes. Thank them for thinking of you and for their kindness. You do not need to say you love the gift.
