How to Write a Business Christmas Card

  1. Keep it short and personal. Two to four sentences is plenty. Use the person's name and one line written just for them.
  2. Thank them for something specific from the year. Mention a project you finished together, a referral they sent or their patience during a delay.
  3. Match Merry Christmas or Happy Holidays to the recipient. Use Merry Christmas for people you know celebrate it, and Happy Holidays when you are unsure.
  4. Sign by hand with your name and company. Add a handwritten signature, and include your company name so clients know who the card is from.

Here is an example that follows all four steps:

What to Avoid in a Business Christmas Card

Leave these out of business cards.

  • Sales pitches. A mention of new services or a sale makes the card read like an advertisement.
  • Discount codes in the card. If you want to share a holiday offer, send it separately by email or mail.
  • Overly personal jokes. Humor that works in person can read differently on paper.
  • A printed signature with no handwriting. Even a short handwritten line or your signature shows that a person took the time.
  • Misspelled names. Check each name and company before you write.
  • Religious wording when you are unsure of the recipient's beliefs. Happy Holidays is a safe choice for a mixed list.

When should businesses send Christmas cards?

Aim to mail business Christmas cards in the first two weeks of December so they arrive before offices close for the holidays. If you miss that window, a New Year card mailed in early January is a good alternative.

Should a business card say Merry Christmas or Happy Holidays?

Use Merry Christmas for clients and contacts you know celebrate Christmas. For a large or mixed list, Happy Holidays or Season's Greetings includes everyone and is always appropriate.

Should everyone in the office sign the card?

For a small team, having everyone sign is a nice touch, especially for clients who work with several people. In a larger office, it is better for the person who works most closely with the client to sign and add a short personal line.

Should I send cards to clients who left this year?
